The Contract Administrator will fill the role of Smallwood during the construction phase of projects. These projects will range in size and difficulty in accordance with skill level and work load. The Contract Administrator will be expected to monitor and document construction progress, quality, and compliance with the Contract Documents; assist the design team with constructability reviews; and work closely with the Specification Department on material selections.  Specific tasks the Contract Administrator shall perform include, but are not limited to, the following:

  • Represent Smallwood in a professional manner to all parties during construction;
  • Establish and maintain communication between the Owner, Contractor, Sub-consultants and Smallwood;
  • Electronically file construction phase documents:
  • Respond to Contractor’s Request for Information
  • Track changes to Contract Documents;
  • Review Contractor’s Application for Payment;
  • Review shop drawings, product information and submittals;
  • Perform site visits and document site observations;
  • Conduct Substantial Completion Inspections;
  • Prepare AIA documents during construction phase;
  • Proactively track and endeavor to facilitate resolution of problems as they arise;
  • Document project meetings and communications;
  • Travel as required for out-of-town assignments; and
  • Keep the project team informed.

Desired Skills and Experience

  • Ability to manage multiple projects simultaneously;
  • Proficient with Microsoft Word, Excel, and PDF writer software;
  • Familiarity with industry project management software;
  • 3 years minimum design and/or construction experience (preference given to experience which includes submittal and RFI process);
  • Ability to communicate, negotiate, and resolve disputes;
  • Degree in Architecture or Construction Management preferred (equivalent knowledge through experience acceptable);
  • Ability to understand and interpret the design intent;
  • Basic understanding of building codes and standards;
  • Keen observational skills;
  • Ability to document observations and decisions; and
  • Ability to organize and manage project records.
